Manages the Administration Department of Lynden Air Freight by performing the following essential functions:
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Plans and directs the activities of the Administration Department. Manages Administrative functions including executive support, reception, mailroom, corporate travel and various regulatory requirements and compliance. Mindful of the overall business, but strategic in maximizing the efficiency of processes and procedures.
Facilitates corporate projects and legal matters for executive staff, LI management and subsidiaries, as well as contractors and vendors. Ability to maintain confidentiality and a professional demeanor is required.
Coordinates preparation of management reports including annual strategic plan and quarterly board reports.
Ensures compliance to insurance requirements on all contract agent and vendor agreements.
Manages corporate travel program, knowledgeable of requirements for traveling overseas, including responsibility for all foreign visas and required travel documentation for international and domestic travel.
Plans, directs, and coordinates all aspects of organized meetings for the LAF system. This includes budgeting within guidelines, the selection of hotel, travel, meeting space, meeting agendas, meals, awards and equipment, social functions (cruises, golf outings, etc.), and liaison to potential sponsors (airlines, etc.).
At request of senior management, implements changes to company policies and procedures, and communicates the changes to all branches throughout the LAF system.
Primary Program Administrator for the LAF Managed Companies corporate bank credit card programs. Administers company credit card process and coordinates issuance of cards, limits, and cancellations.
Generates a variety of correspondence and is responsible for management of all corporate level files, including contracts, leases, legal correspondence, etc.
Communicates goals and priorities to staff; assigns duties and examines work for completeness and accuracy as well as conformance to policies and procedures. Maximizes department productivity to ensure timely and efficient workflow.
HR Backup: Administrator/Superuser for Kronos, ADP, ICMS and iPay.
Manages Administrative employees with overall responsibility for the direction, coordination, and evaluation of direct reports. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, training employees; planning, assigning, directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Education: High School/GED and Minimum of 5 plus years managerial experience required. College degree (B.A.) preferred or an equivalent combination of education and experience.
Communication Skills: Strong communication skills required. Proven ability to read, analyze, and interpret general business periodicals, financial reports, professional journals, technical procedures, governmental regulations, and legal documents. Proven ability to write reports, business correspondence, and procedure manuals. Proven ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information and respond to questions from clients, customers, the public, and groups of managers, including top management required.
Analytical Skills: Strong mathematical competency and reasoning ability. Ability to define problems, collect data, establish facts, and draw valid conclusions is essential for the position as well as the ability to interpret a variety of technical instructions and deal with several abstract and concrete variables.

History of progressive administrative support experience
Diverse skill set in executive support and project management
Experience in successfully developing and meeting project goals and timelines
