Overview

SUMMARY: 

 

Handles all aspects of customer service for international shipments, including daily movement of freight and documents .

 

 

 

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

 

On a daily basis: offer strong customer service and assistance to customers, co-workers, overseas partners, and the general public. Coordinate movement of all freight with timely processing. Organization and multi-tasking a must.

 

Includes: working international shipments while controlling them from beginning to the end. Quote internal and external customers both here and abroad. Arrange pick-ups and transfers to the correct terminal locations to insure cutoffs are met; manual entries in multiple systems per shipment. Rate entries according to tariffs or quotes; manage all documents for the shipper; consignee and our partners overseas; update all parties of shipment status on a daily basis. Approve invoices for payment and submit within 24 hours of payment; scan file docs upon completion of receipt of the last document; ability to troubleshoot at times of difficulty.

 

Performs all aspects of carrier relations (negotiating rates & services and securing spot quotes with carriers to increase profits and reduce customer costs). Manage relationship with vendors and carriers to maintain quality level of service. Analyze current market to ensure competitive rates and profitability.

 

Use necessary systems to provide quoting and coordination, such as Catapult, 7L, and Kayak.

 

Maintain customer profiles and coordinate with sales representatives on business activity. Manages customer service commitments to insure customer requirements are being met.

 

Coordinate warehouse inventories and process for international customers.

 

Predictable and consistent attendance.

 

ADDITIONAL DUTIES:

 

Work with sales staff to secure additional business and supply sales them sales leads.

 

Arrange export crating, marine insurance, hazardous labeling/packing, out of gauge handling and permits, any other services required to expedite any type of cargo.

 

Knowledge and handling of export documents to include: SLI or POA, invoice and packing list, specific docs required by different countries such as C/O, packing declaration, the filing of both AES and ocean tariffs, insurance certificates, hazardous declarations and MSDS, letters of credit, prepare final freight invoices and profitability recaps. Familiarization with NVOCC and freight forwarding operations. Knowledge of FMC rules and regulations. Knowledge of banking procedures for Letters of Credit and draft collections.

Qualifications

QUALIFICATIONS:

 

High School/GED degree required.  College degree in transportation/similar degree preferred 1-2 years experience in international freight forwarding.

 

Excellent written and verbal skills to effectively present information in writing and in person in one-on-one and small group situations to customers, clients, and other employees of the organization.  Ability to read and comprehend simple instructions, procedure manuals, tariffs, and professional journals.  Ability to write routine reports and correspondence.

 

Ability to calculate freight rates, including the effect of dimensional zed weight, and amounts such as percentages, volume, and discounts.

 

Ability to solve unusual problems and deal with a variety of complex or difficult situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written or oral form.  Fully competent to make independent decisions.

 

Intermediate user of MS Office products (word, excel, access, powerpoint).

Must be able to interact with sales, domestic operations, and other office personnel

Excellent organizational skills

 

In addition to working at a desk at least 8 hours a day, may need to work in a warehouse environment.
