  • Overview

    Performs entry, validation and routing of freight payable invoices daily.  Reviews timekeeping system and processes semi-monthly payroll transmittal.


    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

    • Receives and scans all freight payable invoices into appropriate processing system
    • Evaluates and validates the veracity of invoiced costs
    • Assigns general ledger coding to invoices
    • Reviews and reconciles freight vendor statements
    • Ensures invoices are accounted for properly and costs are tracked in the proper systems
    • Researches multiple and complex variables in determining why an inbound or outbound freight invoice does not match a planned freight movement prior to authorization
    • Communicates with internal & external customers regarding freight payable billing issues, concerns, discrepancies and disputes
    • Contacts service providers and internal associates to determine the causes of anomalies and identifies solutions to resolve them
    • Input and extract information, using internal software (Sutwik, Navigator, Oracle, etc.) and Excel spreadsheets to process and remit payments
    • Prepares reports for internal and external use, on both an established time table and on an ad hoc basis
    • Prepares and reviews monthly accrual journal entries and reconciliations
    • Maintains records per established protocols and internal accounting controls
    • Responsible for meeting all deadlines and financial requirements, and scheduling payment of vendor invoices on a timely basis and within specified contract terms
    • Participates in projects to support and explore additional shipment level costing
    • Review timekeeping system for accurate and complete information of the employee payroll timekeeping records each semi-monthly pay period
    • Processes AML semi-monthly payroll transmittal
    • Contributes to team effort by cross training and providing assistance as needed
    • May assist and perform in special projects as requested

    Associates degree preferred; B.A. or B.S. in accounting a plus. 2-3 years related transportation preferably in freight billing and/or freight payable; or equivalent combination of education and experience.



    Ability to effectively communicate with customers using verbal and written communication. Most communication will be via phone and MS Outlook. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.



    Ability to calculate figures and amounts such as discounts, interest, commissions and percentages.



    Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.



    • Ability to meet a regular work schedule.
    • Ability and willingness to work overtime as required.
    • Ability to plan, organize and prioritize work to meet schedules/deadlines.
    • Regular attendance and timeliness are essential functions of this position. Daily physical presence is required.
    • Ability to work alone or as part of a team with minimal supervision.
    • Ability to change focus and job duties in a fast moving, time restricted environment.
    • PC skills required: Windows, Excel, Outlook, keyboarding and 10-key proficiency.


    While performing the duties of this job, the employee is regularly required to use a computer and scanner.

    Specific vision abilities required by this job include close vision and the ability to adjust focus.



    The noise level in the work environment is quiet in the office to very loud in the barge operation.
