ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Answer and direct phone calls for all departments, staff, and visitors, and provide assistance with phone system including voice mail and call routing.
  • Greet and direct incoming guests and visitors.
  • Distribute and process incoming mail, removing from mailing lists as appropriate. Research company invoices. and other correspondence that have been returned to sender.
  • Print and mail company freight billings and miscellaneous invoices.
  • Perform document scanning for multiple departments using various software.
  • Data entry in accounting systems.
  • Inventory, order, and distribute forms such as bills of lading, delivery receipts, mailing labels, etc.
  • Inventory, order, and distribute break room and office supplies.
  • Administer document storage and retention.
  • Administer company issued credit cards. Assist with cardholder questions and transaction dispute resolution.
  • Research and supply information for monthly transactions on the shared company purchasing card, including travel expenses and other miscellaneous purchases.
  • Schedule and set up meetings including coordination of meeting rooms, virtual meeting resources, and meeting supplies.  Ensure conference spaces are kept clean and presentable, before and after meetings, with adequate supplies available.  Order meals and refreshments, as requested.
  • Coordinate distribution of company information, including marketing materials.
  • Support ad hoc customer service tasks as assigned.
  • Perform other administrative tasks as assigned.


QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily with limited oversight. Community College or Technical Degree in related field or two years related experience and/or training; or equivalent combination of education and experience.  Typing (40 WPM), customer service experience, and computer software experience required. (Microsoft Word, Outlook, Excel; Phone Management System).



Ability to read, comprehend, analyze, and interpret simple instructions, short correspondence and memos; ability to write simple correspondence using proper English grammar; ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.



Ability to add, subtract, multiply and divide, using whole numbers, common fractions and decimals.



Ability to define problems, collect data, establish facts, and draw valid conclusions.  Ability to apply common sense understanding to fulfill job duties with limited or detailed written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.


  • Ability to meet a regular work schedule.
  • Ability and willingness to work overtime as required.
  • Ability to plan, organize and prioritize work to meet schedules/deadlines.
  • Regular attendance and timeliness are essential functions of this position. Daily physical presence is required.
  • Ability to work alone or as part of a team with minimal supervision. 
  • Ability to change focus and job duties in a fast moving, time restricted environment.
  • PC skills required:  Windows, Excel, Outlook, Zoom, Teams, digital phone system, keyboarding proficiency.
  • Ability to operate office machinery, such as printers, copiers, scanners, and phones.
  • Ability to work with others & outside public in a professional manner.
  • Must have the ability to work independently and handle a variety of tasks at one time. 
  • Strong communication and organizational skills.


While performing the duties of this job, the employee is regularly required to sit, talk, hear and to handle objects, tools, or controls.  The employee is frequently required to reach with arms and use hands and fingers to handle or feel objects, tools or controls.  Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus.  The employee must occasionally lift and/or move up to 25 pounds.



The noise level in the work environment is usually moderate.  While performing the duties of this job, the employee may occasionally be required to work in various outside weather conditions and occasionally exposed to moving mechanical parts.
